Privacy Policy

Last updated: October 2026

This policy explains how Dixon Visuals, run by Lucas Dixon, collects and uses your personal information when you visit this website, make an enquiry or book my services. I'm the data controller for your information, and I'm committed to keeping it safe and handling it in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

Contact

For any questions about this policy or your information, email lucas@dixonvisuals.com.

What I collect

  • Enquiries: your names, email address, wedding date, venue and anything you tell me in your message.
  • Bookings: contact details, addresses, phone numbers, your wedding day plans and timings, and the names of key people involved.
  • Your client portal: the details you add when you first sign in (your full names, email address, phone number and home address), your signed contract, and the progress of your edit.
  • Signatures: when you sign your contract in the portal, I keep your signature, your name, and the date, time and internet (IP) address it was signed from, as a record that the signature is genuinely yours.
  • Payments: a record of what you've paid, when and how. Card, Apple Pay and Google Pay payments are taken by Stripe, so I never see or store your card details.
  • Photos in your portal: if I add a photo of you to your portal after your wedding, it's stored privately and only you and I can see it.
  • Your wedding: the film footage and photographs taken on the day, which will include you and your guests.

How I use it

  • To reply to your enquiry and send you information you've asked for.
  • To plan, film, edit and deliver your wedding films and photos.
  • To run your private client portal, where you sign your contract, pay your invoices and follow your edit.
  • To manage payments and keep business and tax records.
  • To show examples of my work in my portfolio, website and social media, unless you've asked me not to.

I rely on these legal bases: taking steps to enter into and carry out our contract; my legitimate interests in running and promoting my business; complying with legal obligations such as tax records; and your consent where I ask for it. I never sell your information.

Who I share it with

I only share your information where it's needed to provide my services:

  • My photography partner, Tony Davies Weddings, if your package includes photography.
  • Vidflow, the online gallery used to deliver your films.
  • Stripe, which takes card, Apple Pay and Google Pay payments. Stripe handles your payment details under its own privacy policy.
  • Netlify, which hosts this website and the client portal, receives the enquiry form, and stores the information in your portal.
  • Trusted service providers such as email, cloud storage and video hosting (for example Vimeo), and my accountant.
  • Authorities, where the law requires it.

Some of these providers may store data outside the UK. Where they do, they're required to protect it with appropriate safeguards.

How long I keep it

If you enquire but don't book, I'll delete your details within 12 months. If you book, I keep booking and payment records, including your signed contract, for 6 years to meet tax and legal requirements. Your client portal stays open until everything has been delivered, and I close it within 12 months after that, deleting any photos in it. Wedding footage is kept for at least 12 months after your films are delivered, so please download and keep your own copies.

Keeping it safe

Your client portal can only be opened with the private code I send you, and it uses an encrypted connection. Repeated wrong codes are blocked. My own access is password protected, and payments go through Stripe rather than this website. No system is perfect, but if anything ever happened that put your information at risk, I'd let you know and report it where the law requires.

Your rights

You have the right to ask for a copy of your information, to correct it, to have it deleted, to restrict or object to how it's used, and to ask for it to be transferred to you or someone else. You can also withdraw consent at any time where I rely on it. To use any of these rights, email me and I'll respond within one month.

If you're unhappy with how your information has been handled, you can complain to the Information Commissioner's Office at ico.org.uk. I'd appreciate the chance to put things right first.

Cookies and this website

This website doesn't use its own tracking or advertising cookies. The client portal uses one essential cookie to keep you signed in, and nothing else. When you pay, Stripe's payment page may use its own cookies to process the payment and prevent fraud. Fonts are loaded from Google Fonts, which means your browser connects to Google's servers. If you play an embedded video from Vimeo or YouTube, or follow a link to Instagram, those services may set their own cookies under their own privacy policies.

Changes

I may update this policy from time to time. The latest version will always be on this page.
